Why this Privacy Policy Exists
At Collab we respect your privacy concerns. This global privacy policy applies to our applicants, customers, partners and suppliers.
The policy defines the types of personal information we collect, how we use that information, who we share it with, and the rights and choices available to the owners of personal data in regards to our use of the information. The measures taken in regards to the security of information and how you can contact us about our privacy practices and the exercise of your rights, is also described in this policy.
What this Privacy Policy Includes
This Privacy Policy applies exclusively to the gathering and processing of personal data made by Collab.
By providing their personal data to Collab, the Customer or Partner acknowledges and agrees that such data is processed according to this Privacy and Treatment of Personal Data Statement and to the rules and principles contained in the respective terms and conditions of the used services. To this extent and in regards to the processing of personal data, you must read the present Privacy Policy along with the Terms and Conditions that regulate the supply of the various products and services of Collab.
In addition, if you are an applicant who is applying for a position or if you are creating an account for this purpose, we may collect the following types of personal information (when permitted by law): Employment history and academic qualifications; Linguistic proficiency and other work-related skills; Social Security number, civil identification number or other government-issued identification number; Date of birth; Genre; Bank information; Citizenship and status of work permit; criminal background check and others; benefits information; Tax information; Information provided by references; Information contained in your Curriculum Vitae (CV), information provided regarding your career interests and other information about your qualifications for the job in question. In addition, we may collect information that you provide us about other individuals as well as information related to emergency contacts.
Collab will use reasonable diligence to ensure that the information contained on the website is correct and up to date. The information contained on the website is strictly informative. In these terms, the content of this website is used exclusively at the user’s risk and the website is made available as is. Collab recommends that you verify for yourself the accuracy of the information posted on the website before making any decision based on it. Collab excludes all liability for any damages or viruses that may infect the computer and/or other user’s assets when accessing or navigating the website or transferring material from the website to your computer. What is Personal Data and what is the Purpose of Gathering Such Data
Personal Data is any information of any nature and regardless of its support, including sound and image, relating to an identified or identifiable singular person (data subject). Any person who can be identified directly or indirectly, namely by reference to an identification number or to more specific elements of his/her physical, physiological, psychological, economic, cultural or social identity, shall be considered identifiable.
Typically, personal data collected by Collab is limited to the name, address, telephone number or email, but other data necessary for the delivery of products or services may also be collected. Generally, personal data is requested when the Customer or Partner subscribes to one of our products or services. In general, the collected personal data is intended for the management of contractual relations, the provision of contracted services, the adequacy of services to the needs and interests of the Customer or Partner, information and marketing actions, as well as the inclusion of the Customer or Partner on subscriber lists.
If you are a job applicant and want to apply for or create an account to apply for a job, and if permitted by law, we use the information described in this policy to: Provide you with job opportunities; provide Human Resources services, including the administration of benefits programs, compensation processing, performance management and disciplinary actions; assess your suitability as a candidate and your qualifications for the duties; conduct data analysis by analyzing the suitability of the applicant for the opportunity, assessing individual performance and capabilities, including scores on work-related competencies, identifying skill development needs, using information related to the adequacy of individuals to the opportunities provided and analyze pipeline data (trends in hiring practices).
Collab may use the information for other purposes and, to that end, will provide specific notice.
Who is Responsible for the Treatment of Data
The entity responsible for the processing of personal data is COLLAB – Soluções Informáticas de Comunicação e Colaboração, S.A.
Communication of Data to Other Entities (Third Parties and Subcontractors) and Data Transfer
Data processing may be performed by a suitable service provider hired by Collab. The described service provider will treat the data exclusively for the purposes established by Collab and in compliance with the instructions issued by it, strictly complying with the legal regulations on personal data protection, information security and other applicable standards.
If you are an applicant and to help you find a job, we may also share your personal information with clients or partners and other people with whom we work with, for example, placement consultants and subcontractors, who may have available job opportunities or interest in our applicants.
Some services delivered by Collab may involve the transference of your data outside Portugal , including outside European Union or International Organizations, with the applicable legal provisions, in particular, as regards the determination of the suitability of the country (ies) of destination as regards the protection of personal data and the requirements applicable to such transfers, including, whenever the appropriate contractual instruments and which guarantee and respect the legal requirements in force.
What is the Retention Period for Personal Data
If you are an applicant, your personal data will be kept for a period of 5 years. If you are a customer, partner or supplier, your data will be stored for 2 years counting from your last contact with Collab.
How we use “Cookies”
“Cookies” are small software labels that are stored on your computer through the browser. They store only information related to your preferences. They do not include your personal data.
Like most of the available web pages, Collab also uses “cookies” in its web pages. Cookies collect statistical data from users and Collab uses this information solely and exclusively to increase the speed and usability of your web pages.
The cookies used by Collab do not collect personal information from its users. They were not designed to follow you as a person or to monitor your behavior on the internet. When the legitimacy of the treatment results solely from the consent of the holder, acceptance by the user that his data may be processed or assigned shall always be revocable, without retroactive effect. Collab may promote new products or services to its Customers or Partners through telephone, e-mail, SMS, MMS or any other electronic communications service, if there has been consent for such by the Customers or Partners. If you do not wish to receive such communications, you may at any time object to the use of your data for marketing purposes, the sending of informational communications or to inclusion on lists or information services.
Security of Personal Data
Bearing in mind Collab’s great concern and commitment to defend privacy issues, a number of technical and organizational security measures have been adopted in order to protect the personal data that is made available to us against its dissemination, loss, unauthorized alteration, processing or unauthorized access, as well as against any other form of illicit treatment.
Collab employees, as well as those who provide services to them, are committed not to disclose to third parties or use for purposes contrary to law, any personal information of Customers or Partners whose knowledge comes to them from the exercise of their duties.
Collab is committed to comply with the legislation regarding the protection of the privacy of data of Customers and Partners and to treat this data only for the purposes for which it was collected, as well as to ensure that this data is treated with adequate levels of security and confidentiality, in accordance with the applicable legislation and the conditions established by the CNPD – National Commission for Data Protection.

Collab reserves the right to, at any time, make adjustments or changes to this Privacy Policy. These changes will be duly publicized on the website.
